Services
The booth design environment can be fluid and so it is important for project management to include flexibility and be adaptable to novelty. We employ a flexible phased approach to project management which is detailed below;
Inception
Establish what the client wants to achieve- and the best way to make this happen.
At this stage we gather all the information that will enable us to understand and define the brief, scope and specification with the client. The objectives and expectations are clearly defined. Timelines, roles and responsibilities are established. Budget expectations are defined.
Design
We develop ideas in line with the brief and scope that has already been defined and evolve them to presentation stage. There may be several variations with the client choosing a preferred option. Budget for the preferred option is detailed.
Development / Production
The preferred design is put into production. Work with other agencies (eg branding agencies) is incorporated as required. Regular update telecons are held. Amendments are incorporated as required and updated visuals provided to ensure the design is progressing as envisaged. Regular cost reviews form an intrinsic part of the process.
Delivery and completion
The final design and assets are delivered to site and the project is managed to completion.
Stand Management
On site, ReMark provides appropriate personnel to oversee all aspects of booth management and delivery from unloading to reloading and return.
Specific support during the show includes:
- Maintaining all aspects of the booth construction and activities to the highest standard
- Organising materials to ensure efficient distribution
- Technical supervision (Audio-Visual and other areas)
- Troubleshooting, eg, locating missing on-site deliveries from other agencies, responding to on-site requests (eg extra printing), assisting other agencies where needed, eg with hospitality suites and satellite symposia
- And coffee bar staff
Other services can be provided depending on the scope of the work:
- Hospitality and catering services - hired as required
- Audio-visual/Technology - hired locally or brought from the UK depending on project demands
- Printers; Presenters; Photographers; Pavement artists - and other professionals that don't begin with “P”
Close
Post-project meetings are held to assess the project and to identify where / if process improvements can be made with the evaluation feeding back into continuous iterative improvements.
Quality control
The project lead is responsible for overall quality control and there is a sign off process for the output of each phase (consultation with the client is part of this process). Client is asked for a formal sign off at key milestones, eg approval of design.
Attitude and approach
Our most important best practice is our attitude and approach. ReMark staff are known and liked by clients and congress organisers for their friendly, “can-do” and above all professional attitude. Work and enjoyment are not mutually exclusive and project outcomes will be better if everyone feels they are on the same team and pulling in the same direction.
